In many organizations, workforce cost planning still relies on spreadsheets, multiple data sources, and manual reconciliation between departments. While this approach may work in smaller organizations, it quickly becomes inefficient as the business grows.
Without a single, reliable source of data, it becomes harder not only to plan effectively, but also to make informed decisions about headcount, compensation, recruitment, and organizational development.
At the same time, HR is increasingly expected to act as a strategic business partner. To fulfill this role, HR decisions need to be supported by reliable data and analytical tools that allow organizations to model different scenarios and understand their financial impact.
Why SAP Analytics Cloud Is a Powerful Tool for HR Planning
KBJ has extensive experience delivering projects based on SAP solutions across a wide range of industries. Implementing the planning capabilities of SAP Analytics Cloud (SAC) within our own organization was therefore a natural step.
Our approach is simple: we use the technologies and solutions we recommend to our clients. This gives us first-hand experience of their capabilities and limitations, while allowing us to approach client projects not only as consultants, but also as practitioners.
From an HR perspective, the primary objective was to streamline the planning of compensation budgets and workforce-related costs.
One Platform for Workforce Cost Planning and Budgeting
One of the most significant changes was moving from fragmented planning processes to a single, centralized environment. SAP Analytics Cloud has become a common platform for HR, Finance, and business managers.
Centralizing the data has improved consistency and reduced the risk of errors associated with manual data processing. With access to up-to-date information, everyone involved in the planning process can work from the same set of data.
Automated data consolidation has also eliminated much of the time-consuming work involved in collecting and reconciling information from different sources. This was previously one of the major challenges in the HR budgeting process.
Integrating SAP Analytics Cloud with SAP S/4HANA
The next logical step was to integrate the planning environment with our SAP S/4HANA HR system.
Our planning models use a live connection, providing continuous access to current HR data. This includes information on workforce structure, headcount, compensation costs, planned vacancies, and non-payroll costs such as employee benefits and training.
As a result, planning and forecasting are based on consistent, up-to-date information, increasing the reliability of both financial analysis and business forecasts.
People Analytics as a Foundation for Better Business Decisions
One of the most valuable outcomes of the implementation has been the ability to model different workforce cost scenarios before making business decisions.
We can now quickly assess the financial impact of changes in headcount, compensation levels, planned recruitment, or organizational restructuring. This makes discussions around workforce costs more transparent and fact-based, while giving management a clearer picture of the financial implications of different decisions.
From HR Reporting to Strategic Business Partnering
Our experience shows that modern analytics can play an important role in changing the way HR contributes to the business.
Having access to current data and the ability to model workforce costs allows HR to participate more actively in decisions related to business growth and organizational development.
At the same time, technology is not an objective in itself. Its real value comes from how effectively it supports day-to-day business operations.
Our SAP Analytics Cloud implementation at KBJ was not a technology showcase or an internal proof of concept. It was a natural extension of our approach to technology: we use the solutions we recommend to our clients.
This allows us to discuss their capabilities based not only on consulting experience, but also on our own day-to-day experience as users.
Beyond Workforce Planning: A Broader Approach to Financial Planning
The use of SAP Analytics Cloud at KBJ goes beyond workforce cost planning and analysis.
The platform also supports the preparation of our comprehensive budget, including the planning and monitoring of key financial categories such as revenue, project costs, and administrative expenses.
Bringing these planning processes together in a single analytical environment helps improve data consistency and makes the overall budgeting process more efficient.
Using SAP Analytics Cloud gives HR access to reliable, up-to-date data and allows us to assess the financial impact of different workforce scenarios before decisions are made. This significantly changes the role HR can play in the organization — from reporting on costs to actively supporting business decisions.
