Information clause
regarding the processing of personal data of participants and speakers of marketing events organized and co-organized by KBJ
  1. The Administrator of your personal data is KBJ S.A. with its registered office in Warsaw (01-161), at Obozowa 57, entered into the Register of Entrepreneurs of the National Court Register by the District Court for the Capital City of Warsaw, XIII Commercial Division of the National Court Register under the number 0000387799, NIP: 7262571799, REGON: 100393858.
  2. Inquiries regarding the protection and processing of personal data can be sent via e-mail to the address rodo@kbj.com.pl or by traditional mail to the address of the Administrator's seat.
  3. The legal basis for the processing of your personal data is art. 6 sec. 1 (f) , i.e. the legitimate interest of the Administrator.
  4. The purpose of processing your personal data is:
    a. substantive and technical preparation of marketing and promotional events organized or co-organized by the Administrator;
    b. negotiations, signing and implementation of the cooperation agreement in the field of event implementation;
    c. verifying the correctness of participants' applications;
    d. preparation and administration of events;
    e. enabling online participation in events (webinar), including granting appropriate access to the application through which the event will take place;
    f. preparation and sending of organizational, marketing and promotional materials regarding the event;
    g. publishing the image and biographical note of speakers, special guests and other participants of events in materials and other communication channels promoting the event;
    h. contact after the event in order to collect opinions and comments from participants;
    i. purposes related to the organization of future events and maintaining business relationships;
    j. event settlement,
    k. evidence purposes related to the performance of the contract,
    l. contract archiving;
    m. statistical purposes;
    n. pursuing claims and defending against them.
  5. The administrator will process personal data of speakers, special guests and participants of the event, obtained:
    a. from persons authorized to represent the partner of a given event;
    b. directly in the process of registering participation in the event;

    With regard to the personal data of members of bodies or proxies, KBJ may also obtain such data from publicly available registers.
  6. The administrator will process personal data:
    a. in the case of speakers: name, surname, e-mail address, company name, position, telephone number; description of work experience;
    b. for participants: name, surname, e-mail address, optionally telephone number, position, company name, as optional data.
    c. in the case of representatives of event partners: name, surname, e-mail address, telephone number, position, company name.
  7. The recipients of your personal data are:
    a. authorized employees or associates of KBJ S.A.
    b. substantive, technical and other partners of the event organized by the KBJ;
    c. banks, in the case of making settlements,
    d. entities providing for the Administrator, among others IT, consulting, auditing, legal and tax services.
    e. entities providing postal and courier services;
  8. Your personal data will be stored for the period necessary to prepare, implement and settle the event. In accordance with applicable regulations, KBJ archives contracts for a period of 5 years from the beginning of the year following the financial year in which operations, transactions and proceedings were finally completed, repaid, settled or expired (Article 74(1)(4) of the Accounting Act).
  9. Your personal data will be stored on servers located in the European Economic Area - EEA). Personal data may be transferred to third countries to the extent that it is necessary for KBJ S.A. to use cloud services provided by global providers of such services, and the transfer shall take place in accordance with the relevant provisions of law governing the principles of personal data protection, in particular based on standard contractual clauses, in accordance with templates approved by the European Commission.
  10. Personal data is processed in an automated manner, but is not subject to profiling.
  11. With regard to the processed personal data pursuant to art. 15-21 GDPR, you have the right to:
    a. the right to access data,
    b. the right to rectify data that is incorrect, supplement incomplete data;
    c. the right to limit processing,
    d. the right to delete data;
    e. the right to data portability;
    f. the right to withdraw consent at any time, without affecting the legality of the processing that was made on the basis of consent before its withdrawal;
    g. the right to lodge a complaint to the President of the Office for Personal Data Protection, when you believe that the processing of your personal data violates the provisions of the GDPR.
